By booking a tour with us, you embark on a journey through Rwanda’s breathtaking landscapes, iconic wildlife destinations, and rich cultural heritage all while benefiting from our commitment to responsible, safe, and high-quality travel.

Our Terms & Conditions outline the rules, responsibilities, and rights of both our guests and our company. By confirming your reservation, you acknowledge that you have read, understood, and agreed to these terms. We strongly encourage all travelers to review this document carefully before finalizing any bookings. These guidelines ensure that your travel experience with Rugo Miles Africa is seamless, secure, and memorable.

 

  1. Reservation

All bookings with Rugo Miles Africa require a signed travel agreement. This can be completed electronically or in person. The agreement applies to all participants listed in the booking, and the person making the reservation is responsible for ensuring that every participant complies with the terms. Once the agreement is confirmed, a reservation confirmation will be sent via email, including all essential travel details.

 

  1. Payments

A deposit of 50% of the total tour price is required within 14 days of booking. The remaining balance must be settled no later than 60 days before the tour start date. Bookings made within 60 days of departure require full payment at the time of booking.

Failure to complete payments on schedule may result in automatic cancellation, and deposits may be non-refundable. Payment methods include bank transfers, credit cards, or online payment platforms approved by Rugo Miles Africa.

 

  1. Price and Service Adjustments

Rugo Miles Africa strives to maintain advertised prices and services. However, adjustments may occur if:

  • National park entry fees or conservation levies change
  • Transportation or fuel costs increase
  • Taxes or government regulations affect pricing

Any necessary adjustments will be communicated promptly. We reserve the right to modify essential services up to 14 days before the tour start date to ensure your safety and comfort.

 

  1. Medical Conditions and Special Needs

Travelers must inform us in writing at the time of booking about any medical conditions, allergies, or disabilities that could affect participation. Rugo Miles Africa reserves the right to decline or cancel bookings if we cannot safely accommodate specific needs. Your safety and comfort are our highest priorities, and our team is trained to provide appropriate assistance when possible.

 

  1. Accuracy of Travel Documents

All travel documents, itineraries, confirmations, and tickets should be checked immediately upon receipt. Any discrepancies must be reported to Rugo Miles Africa within 14 days. Failure to report errors may result in additional costs, which will be the responsibility of the traveler unless the error originated from our team.

 

  1. Cancellation Policy

By Customer:

  • 60–45 days before tour start: 50% of total tour price is non-refundable
  • 45–0 days before tour start: 100% of total tour price is non-refundable

Deposits for accommodations, flights, or special activities are non-refundable. No-shows or partial use of services will not be refunded; unused services are considered on a case-by-case basis.

By Rugo Miles Africa:

We may cancel a tour if:

  • A participant significantly disrupts the experience (no refund will be issued)
  • The minimum number of participants is not met (refund of deposits will be issued)
  • Natural disasters, political instability, or other force majeure events occur

 

  1. Liability

Rugo Miles Africa carefully plans and executes all travel experiences. However, we are not liable for services provided by third parties, including airlines, ground transportation providers, or local vendors. Travelers are responsible for:

  • Adhering to local laws
  • Securing valid travel documents
  • Obtaining comprehensive travel insurance

Our team ensures that all tours are conducted safely and responsibly, but participation involves inherent risks that must be acknowledged by travelers.

 

  1. Adventure and Outdoor Risks

Rwanda’s safari, trekking, and nature activities involve natural and adventurous risks, such as:

  • Wildlife encounters in national parks like Akagera and Volcanoes National Park
  • Uneven, rugged, or challenging terrain
  • Variable weather conditions
  • Outdoor activities such as hiking, boat safaris, or gorilla trekking

Participants acknowledge these risks and accept personal responsibility for their safety. Proper preparation, including first aid knowledge and travel medicine, is highly recommended.

 

  1. Traveler Responsibilities

To ensure a smooth and enjoyable experience, travelers are expected to:

  • Follow all instructions from guides and Rugo Miles Africa staff
  • Avoid damage to property, wildlife habitats, or equipment
  • Respect local communities, cultures, and natural environments
  • Report concerns or complaints promptly

Emergency contacts, local partner information, and safety procedures will be provided before each tour.
